KS
Challenge

KS Property Rentals was growing rapidly in a booming rental market but faced the task of maintaining growth at the brisk pace of demand. A clear obstacle was their dated method of generating property reports for their landlord clients to detail rental conditions, maintenance activities and move-in/move-out comparisons. KS Property Rentals needed a better way to produce professional, online reports—and fast. Their standard method required more than two hours to create reports from the field to the office, precious time that was holding the company back.

Solution

Imfuna Let enables KS Property Rentals to reduce the time needed to create an online report by 75 percent—from two+ hours per report down to just 30 minutes from field to office. KS Property Rentals is also benefitting from Imfuna’s rapidly-generated move-in/move-out comparison reports that expedite the process of settling deposit returns between landlords and tenants. This, in turn, has established KS Property Rentals as an indispensable resource for their property management clients.

Background

KS Property Rentals manages more than 1,200 residential properties. In an industry that can often be resistant to adopting new technology, Company Director Simon Smith looked to Imfuna to help streamline processes.

Prior to using Imfuna Let, KS Property Rentals scanned and retyped hand-written documentation to create electronic condition reports at a landlord’s request. Photos of every room would be loaded on a hard drive and rarely used in the report. “If I wanted to email an inspection report to a landlord with photos, I would be looking at being on site for an hour, followed by 30 minutes at home writing reports into a digital format, 15 minutes on a summary email and another 15 minutes to transfer, file and save the photos. With up to 25 check-ins reports going out every month, it was a big time investment,” says Smith. KS Property Rentals became an early adopter of Imfuna Let because it helps all field employees intuitively document inspections with integrated metadata including photos, notes from transcription, classification of condition from “new” to “damaged,” and flags for maintenance required. These capabilities are dramatically reducing the time spent on inventorying properties, both onsite and in the office, to 30 minutes. The time saved is being reinvested in growing the business even more.

Smith says Imfuna Let is significantly increasing productivity and delivers a professional output, providing “peace of mind should my evidence be called upon in a dispute; I know it will be neat, succinct, detailed and presentable.”
